Headquartered in Niagara Falls, New York, Calspan’s Flight Research Center is home to a fleet of aircraft that include Learjets, Gulfstream III, and a Premier. These aircraft are used for variable stability programs, flight equipment testing, and a variety of other projects for private and government organizations.  We are looking for a Business Coordinator to join our team! This individual will provide project-based support to the Calspan Flight Research departments. They will also provide support to the purchasing and shipping & receiving functions for aircraft parts to ensure operational readiness. 


  • Provide program support to include creating reports, documents and presentations, such as monthly Flight Business Reviews.  Assist with travel arrangements/expense reports and managing office supplies.  Perform basic project accounting and maintain databases.  Review, track, and file important documents, proposals, orders and invoices on a daily basis.  Maintain the Flight Team’s meetings and conference room schedules, coordinates customer on-site visits.
  • Conduct customer program close out activities.  Coordinate with business units to submit and track customer deliverables; ensure all invoicing documents are completed and submitted to finance; follow up with customers to secure feedback and resolve billing issues; and coordinate post-test shipping of test articles.
  • Enter requisitions through the Calspan ERP system for flight sites.  Work closely with Aircraft Maintenance function to plan parts for maintenance periods. Coordinate with vendors to ensure on-time delivery and proper traceability.    
  • Provide support to the shipping, receiving, government furnished equipment and inventory process.  Ensure proper stock levels, safety stock, reorder points, delivery times and stock locations.  Oversee freight expenditures.
  • Provide support for the flight tool control and calibration system for Niagara Falls Hangar Facility. 


Preferred Education / Experience:

  • Associates/Bachelors in Business or similiar discipline
  • 5+ years experience or;
  • A combination of education and experience equivalent to above

Preferred Knowledge / Ability:

  • Basic accounting and finance skills
  • Exceptional interpersonal and verbal/written communication skills
  • Superior organization skills
  • Ability to analyze and revise operating practices to improve efficiency
  • Detail oriented multi-tasker with the ability to respond quickly to changing priorities
  • Ability to take initiative, act independently and anticipate requirements of the management team
  • Ability to complete high quality work in fast-paced environment within designated time-frames
  • Demonstrate a high degree of confidentiality
  • Proficiency in MS Office with expertise in Word, PowerPoint and Excel; working knowledge of desktop publishing and digital graphics
  • Flightdocs experience preferred
